Door sign (room signage)

A digital door sign is a small display beside the door of a meeting room, classroom or treatment room that shows the room name, current occupancy and upcoming bookings.

The data usually comes from the calendar in which the room is booked.

In offices, staff can see at a glance whether a room is free, often with a green or red indicator. In schools, universities, hotels and conference centres, the door sign shows the event in progress. Some devices allow a free room to be booked at short notice or a meeting to be extended right at the door. E-paper displays are often used for door signs because they only need power when the image changes and can therefore run on batteries.

Operators should clarify how the door sign accesses the calendar; a dedicated account with read access to the room calendars only is safer than a personal one. Meeting titles can contain confidential details, such as the names of applicants or customers; many displays therefore show only “occupied” or the name of the person who booked. Without a connection, the sign must make clear that the information may be out of date.
