Visitor registration

Visitor registration is the recording of guests as they enter a building, with name, company, contact person and time, nowadays often at a terminal or tablet rather than on paper.

The system frequently prints a visitor badge or notifies the host.

In companies, registration is often linked to the reception screen. The terminal asks for the details, displays safety or hygiene instructions and has them confirmed; the screen in the foyer welcomes expected guests. Visitors registered in advance can receive a code that speeds up check-in on site.

Registration creates personal data, so the GDPR applies: only what is necessary is collected, and operators decide how long the data is kept. An open visitor book in which anyone can read the names of earlier visitors should be avoided. Where guests are welcomed by name on screen, it should also be clear whether the guest wants this.
